Create your Facthory account, set up a workspace, invite your team, choose a plan, and take your first steps with knowledge and multiplayer agents.
Facthory is an operational intelligence platform. Your team can capture knowledge from documents and video, ask grounded questions with evidence, and collaborate with multiplayer AI agents on everyday operational work.
This guide walks you from first sign-in to a workspace your team can use. Replace the placeholder images below with your own product screenshots when you edit this page in Notion.
Make sure you have:
A work email you can use with Microsoft sign-in
Permission from your organization to create or join a Facthory workspace
About 15–20 minutes for the first setup
If your company already uses Facthory, ask an admin to invite you instead of creating a new workspace. You will join their existing organization after you sign in.
Facthory uses Microsoft for secure sign-in. You do not create a separate password inside Facthory.
Open the Facthory app (your team may share a link such as the production app URL).
Choose Sign in with Microsoft.
Complete the Microsoft sign-in or consent screens for your organization.
If this is your first time, Facthory creates your user profile and continues to workspace setup.
Use the same Microsoft account your IT team expects for work apps.
If consent is blocked, ask your Microsoft admin to approve Facthory for your tenant.
If you land in the wrong organization, sign out and sign in again with the correct account, or ask a Facthory admin to invite the right email.
A workspace is your company space in Facthory—billing, users, and sites live here.
When prompted, choose Create a workspace (wording may vary slightly).
Enter your organization or workspace display name.
Confirm your role as the initial owner or admin.
Continue to plan selection if you are starting a trial or paid plan.
Open the invitation email or link from your admin.
Sign in with Microsoft using the invited email address.
Accept the invitation to join the existing workspace.
Facthory offers seat-based plans (Core, Pro, and Scale) with included AI Capacity—a simple percentage view of how much of your monthly AI budget your team has used. You do not need to track tokens or models.
Review the plan that fits your team size and features.
If a trial is offered, confirm trial terms and continue.
Add billing details only when your flow asks for them (trial vs paid may differ).
Confirm seat count guidance from your admin or account team (minimum seats are a sales guideline, not a hard self-serve lock in every case).
You can change plans later from account billing settings when you have permission.
Operational intelligence works best when the right people can collaborate.
Open Users, Team, or Invitations in account or workspace settings.
Invite colleagues by work email.
Assign an appropriate role (for example owner, admin, or member—labels follow what you see in the product).
Ask invitees to sign in with Microsoft using the invited address.
Tips:
Invite at least one other admin so setup is not blocked if you are away.
Prefer work emails that match your Microsoft tenant.
Remove or adjust access when people leave a site or project.
Many Facthory features are organized by site (a plant, region, or team boundary). Creating a clear first site keeps knowledge and work scoped correctly.
Create a site with a name your operators will recognize.
Confirm who can access that site.
Optionally review site-level feature controls if your plan and role allow toggling features for capacity or rollout reasons.
You do not need to finish everything on day one. Pick one path:
Open the area for files or documents for your site.
Upload a familiar operating document (procedure, manual, or FAQ).
Wait until processing finishes, then open AI Knowledge Workspace (chat) and ask a question about that document.
Check that answers show sources or citations when available.
Open Agents or the knowledge workspace chat for your site.
Ask a clear operational question (who, what, when, which procedure).
Review the reply and any sources.
Invite a teammate into the conversation when your product UI supports sharing.
AI Capacity is the customer-facing meter for included monthly AI usage across your workspace. In billing or usage views you will typically see:
How much of the included capacity is used this period
That features draw from one shared pool (not separate per-feature quotas)
Options for on-demand usage if your plan and settings allow it when included capacity runs out
Owners and billing admins should review usage after the first week of real work so capacity expectations match team habits.
